Understanding Bookability in the Online Booking System

In this article, we'll explain which system settings affect whether and how services can be booked. If a service isn't bookable, or fewer available time slots appear than expected, it's usually due to a combination of staff, booking hours, or resources.

Important Distinction: Online Booking vs. Manual Appointments

The rules described in this article apply only to online bookings.

When appointments are created manually in the calendar, these restrictions can be bypassed.

This means:

  • Appointments can be entered manually even if a staff member is not available
  • Appointments can be created even if a service isn't linked to any staff member or resource

Important:
If a service is linked to resources or staff members, these must also be manually selected when booking an appointment manually.

Otherwise, they won't be automatically blocked, which can lead to double bookings.

Basic Requirement for Online Bookings

For a service to be bookable online, it must be assigned to at least one staff member or resource.

If a service is assigned to neither a staff member nor a resource, it can't be booked online.

In addition, the assigned staff member or resource must also be available.

Availability is controlled by:

  • general booking hours
  • individual staff booking hours
  • the shift schedule

If no availability has been set up, no time slots will appear on the booking page.

Common Reasons Why No Available Time Slots Appear

1. No Staff Member Is Assigned to the Service

If a service is meant to be performed by staff members, it must be enabled in the staff member's profile.

If no staff member is linked to the service, it can't be booked online.

2. The Staff Member Has No Booking Hours

For staff members to be bookable online, booking hours must be set up.

This can be done via:

  • general booking hours
  • individual booking hours
  • a shift schedule

If the shift schedule is enabled, shifts must be entered there — otherwise the staff member isn't bookable.

3. A Required Resource Is Not Available

Some services additionally require a resource, for example:

  • a room
  • a piece of equipment
  • a table
  • a rental (e.g. a court or lane)

If this resource is already booked or has no availability, no further appointment can be booked.

4. Staff and Resources Must Be Available at the Same Time

If the Staff-Room Combination setting is enabled, an appointment can only be booked if:

  • a staff member is available
  • and the required resource is free at the same time.

Troubleshooting Tip

If a service isn't bookable online, check the following points:

  • Is the service assigned to a staff member or a resource?
  • Does the staff member have booking hours or shifts?
  • Is a required resource available?
  • Is the Staff-Room Combination enabled?
