Here's how to sell and redeem vouchers.

Selling a Voucher

  • To sell a voucher, simply add the item to the cart and sell it using any payment method.

Redeeming a Voucher

  • Vouchers are redeemed directly in the cart. In the checkout view, there's a button you can use to scan a voucher and add it to the cart.

Between Single Item and Discount, you'll find the voucher button.

  • Tapping it opens a window where you can scan the voucher code or enter it manually. Once it's recognized, the voucher's details are shown, such as validity and remaining value.

Vouchers can only be added to a cart once an item has already been added.

  • Tap Add to Cart to apply the voucher.
  • A new card will appear in the cart showing the voucher code and how much is being redeemed.

  • If the total of the items is higher than the voucher's value, the remaining amount can be paid using any payment method.

Multiple vouchers can be scanned. The first ones scanned are always redeemed at their maximum amount first.

  • Complete the sale as usual.

If a voucher can't be redeemed, please check the following:

The voucher has a remaining value and is valid, but €0 is redeemed once it's added to the cart

Please check whether it's a single-purpose voucher. For example, if a single-purpose voucher with 7% VAT is added, but only items with 19% VAT are in the cart, the voucher can't be applied and will show €0.00 redeemed.

You can verify this by looking up the scanned voucher in the voucher report and comparing the VAT rate.

  • Vouchers appear as a separate line item on the invoice.

Voucher Report

  1. Log in to the POS Manager.
  2. Go to Reports > Live Reports > Voucher Report. Here you'll find a current voucher report showing each voucher's remaining value and redemption details.
  3. Using the download button above the report on the right, you can download it as an .xls file. The Excel file contains two sheets: Vouchers Sold and Vouchers Redeemed.

Redeeming an Expired Voucher as a Goodwill Gesture

Once a voucher has expired, it can no longer be redeemed normally in the system. If you'd still like to accept it as a goodwill gesture, there are two options. Either way, you should always coordinate this with your tax advisor.

Option 1: Record the remaining value as a merchandise credit

  1. Create the voucher's remaining value as a merchandise credit (as with a regular sale).
  2. Add the following note to the invoice's internal notes: "Voucher No. XXXXX was redeemed as a goodwill gesture due to expired validity."

Option 2: Reissue the voucher with its remaining value

  1. Create a new voucher with the corresponding remaining value.
  2. Then apply a cart discount for the full amount, so the invoice total comes to €0.
  3. Add the following note to the invoice: "Voucher No. XXXXX was reissued as a goodwill gesture due to expired validity."
  4. Select cash as the payment method. Since the invoice total is €0, this is the only payment method that can be used.
  5. Print the new voucher via the receipt printer.
  6. The customer can then redeem the newly issued voucher in full or in part. Any remaining value can be used on a future visit.

Accounting and VAT Treatment of Vouchers

Below is a general overview of the accounting and VAT treatment of multi-purpose and single-purpose vouchers.

Multi-Purpose Voucher — Accounting Treatment

At the time the voucher is sold

  • The customer pays for the voucher, but the actual service hasn't been provided yet.
  • No taxable transaction has occurred yet.
  • The payment received is generally recorded for accounting purposes as a voucher liability or advance payment received — not as revenue.

At the time the voucher is redeemed

  • The service is only provided upon redemption.
  • This is when the taxable transaction occurs.
  • VAT generally only becomes due at the time of redemption.

Single-Purpose Voucher

For single-purpose vouchers (e.g. where the place of supply and tax rate are already clearly determined at the time of sale), VAT becomes due at the time the voucher is issued or sold. Later redemption generally has no further VAT implications.

Why doesn't the voucher sale show up in revenue right away?

It can often seem like the voucher sale is missing from your revenue. In fact, the POS system distinguishes between incoming payments and tax-relevant revenue:

  • The voucher report documents the payment received when the voucher is sold.
  • The revenue overview only shows tax-relevant revenue.

As a result, selling a multi-purpose voucher will appear in the voucher report but not yet in your revenue figures. This is expected system behavior and reflects the correct tax treatment of multi-purpose vouchers.

Note for Your Tax Advisor

Unredeemed multi-purpose vouchers should generally be carried as voucher liabilities (outstanding voucher balance) and are not counted as revenue until they are redeemed.
