What Is the Cancellation / Rescheduling Limit?
Your customers can cancel or reschedule their appointments online. The cancellation/rescheduling limit lets you set how last-minute an online cancellation or rescheduling can be.
- Click your username in the top right, then click Settings > Booking Settings. Here's a direct link to your calendar's booking settings.
- Scroll down to the "Cancellation / Rescheduling Limit" section.
- Enter how many days before the appointment online cancellation or rescheduling should still be possible.
- Save your changes.
Once the set deadline has passed, customers can no longer cancel or reschedule their appointment online. In that case, they'll need to contact you directly.
Example:
With a 24-hour limit, an appointment on the 12th at 3:00 PM can be cancelled or rescheduled online up until the 11th at 3:00 PM. After that, neither option is available anymore.
How Can My Customers Reschedule Their Appointment Themselves Online?
With the new Reschedule Appointment feature, your customers can move their appointment to another available time themselves — without having to book again or check in with you.
The feature is available anywhere customers can manage their appointment:
- on the booking confirmation page right after booking
- via the appointment link in the confirmation email
Next to Cancel Appointment, customers will now also find the Reschedule Appointment option there.
How Does Rescheduling Work?
When a customer clicks Reschedule Appointment, the booking calendar opens. From there, they can select a new available time.
All previously entered information is retained:
- name and contact details
- the booked service
- appointment duration
- price
- any payments already made
Only the date and time are changed. If your booking settings allow it, a different staff member can also be selected when rescheduling.
Rescheduling is possible for both individual appointments and courses, and can be done multiple times if needed.
What Deadline Applies to Rescheduling?
The same deadline applies to rescheduling as the one you've set as the cancellation/rescheduling limit in your booking settings.
This means:
- Within the deadline, customers can reschedule their appointment themselves.
- Once the deadline has passed, neither rescheduling nor cancelling is possible online.
You yourself aren't affected by this deadline. You can reschedule appointments at any time via your calendar.
What Happens to Payments?
Depending on whether payment was already made online in advance, the system behaves differently:
- Fully paid: The payment stays linked to the new appointment. No new payment is required.
- Deposit paid: The deposit remains in place. The remaining balance becomes due at the new appointment.
- No payment made yet: Rescheduling doesn't trigger a new payment.
What Else You Should Know
- If a customer cancels the process before the new appointment is confirmed, the original appointment remains unchanged.
- For appointments that have already taken place, the link still leads to the review page.
- Recurring appointments can still only be rescheduled by you via the calendar.
- The number of people booked can still only be changed by you.
- No additional setting is required. The existing cancellation/rescheduling limit automatically applies to both cancelling and rescheduling.
