Overview of Accounting Options for Shore POS Users
As a user of the Shore POS solution, you have two main ways to process your accounting data and forward it to your tax advisor. These options help you manage your financial data efficiently and in compliance with legal requirements.
Below you'll find everything important about the DATEV integration and the accounting feature with pre-assigned account codes.
1. DATEV Integration: Shore POS DATEV MeinFiskal
With the DATEV integration, you can transmit your POS data directly to your tax advisor while complying with all financial regulations. The connection to DATEV MeinFiskal lets you transmit all business transactions, including the "Z-report," to the DATEV Kassenarchiv online.
How Does the Integration Work?
- Connecting to DATEV MeinFiskal: You connect your Shore POS system to the DATEV Kassenarchiv online. To do this, you need a DATEV MeinFiskal account.
- Forwarding to the DATEV cash book: To ensure smooth data exchange, your DATEV Kassenarchiv online needs to be connected to your tax advisor's DATEV Kassenbuch online. Your tax advisor can help you with this.
Benefits of the DATEV Integration
- Legal compliance: You meet the GoBD requirements for archiving POS data.
- Direct access: Your tax advisor has direct access to the transmitted data and can process it further in your bookkeeping.
What Do You Need?
- A DATEV MeinFiskal account: This is required to set up the DATEV Kassenarchiv online and connect it to the Kassenbuch online. Costs depend on the number of "folders" needed.
- Coordination with your tax advisor: Talk to your tax advisor beforehand to make sure they use DATEV and that the connection is set up correctly.
2. Accounting Feature with Pre-Assigned Account Codes and DATEV Export
For customers who need a seamless way to integrate their transactions into their accounting software, there's a dedicated accounting feature. It was developed specifically for our Kassen+ and All-in-One customers in Germany.
What Does the Feature Include?
- Pre-assigned account codes in the POS Manager: You can assign specific accounting codes to products, services, and payment methods.
- DATEV format export: All transactions are exported in DATEV format (.csv), so you can upload them directly into your tax advisor's accounting software.
Why Should You Use This Feature?
- Time savings: Export all transactions directly from Shore and import them into your accounting software with ease.
- Transparency: All individual transactions are shown in detail, improving traceability.
- Flexibility: Choose a standard chart of accounts and adjust the codes manually as needed.
How Do You Use the Feature?
- Activation in the POS Manager: Go to the POS Manager and enable the feature under "Settings" > "Accounting." A wizard will guide you through the setup.
- Custom settings: Set a standard chart of accounts, enter client and advisor numbers, and define individual accounts for different categories and payment types.
- Reports and exports: Generate monthly exports once setup is complete and forward them directly to your tax advisor.
Important Notes
- Retroactive exports: Exports can also be created for past months. In this case, the currently configured accounts are used.
- Coordination with your tax advisor: Make sure you complete the setup in coordination with your tax advisor so the correct accounts are configured.
Summary
With the DATEV integration and the accounting feature with pre-assigned account codes, you have two powerful options for managing your financial data efficiently. Which solution fits best depends on your specific needs and how you work with your tax advisor. Both solutions are designed to streamline your bookkeeping and make working with your tax advisor easier.
