Keeping a Cash Book

You can find the cash book in your Shore POS app:

  1. Open the Shore POS app and log in.
  2. Go to Business > Cash Book in the menu.
  3. You can use the date selector at the top to switch between cash books from previous months, or send your cash book as a CSV file by email by tapping the share icon.

Adding New Entries

Important: A cash book entry can't be deleted, but you can add a correction entry.

  1. To add a cash book entry, simply tap the plus icon (+) in the top right.
  2. A window will open where you can add the entry.
  3. Click Save in the top right to save the entry.

Income: Use this to record cash you take in or place in the register. This covers any income your business generates, whether from selling products or accepting payments.

Expenses: Use this to record cash taken out of the register. This covers any expenses your business incurs, whether for purchasing goods, paying invoices, or other operating costs. It's important to record all expenses carefully to keep your bookkeeping accurate.

Cash Transfer: Use this option when you take cash out of the register to deposit it into your bank account.

Payments: Use this to record payments you've received from customers. These can be cash payments, card payments, or other payment types. Recording your payments in the cash book helps you keep track of your income.

Private: This option lets you record private withdrawals you may have taken from the register. It's important to keep private expenses separate from business expenses to ensure accurate bookkeeping.

Tax Rate: Here you can specify the tax rate relevant to the entry. This is especially important for meeting your tax obligations and creating accurate reports.

Amount: Enter the exact amount of money you're taking in or withdrawing.

Reference: Here you can enter a reference or invoice number to further specify the entry. This can be useful for tracing or reviewing entries later.

Notes: Please enter a reason or description for the entry. This can help you better understand or explain the entry later.

By correctly recording this information in the cash book, you can maintain accurate bookkeeping and keep track of your finances.

Note that for certain combinations of tax rate and account, only one option is available and will be automatically pre-selected. (For example, for income combined with a cash transfer, a tax rate of 0 and account 1000 result automatically.)

If you use accounting exports from the POS Manager, you'll also have access to an additional field called Account.

Account: Select an account to assign the entry to a specific business area or cost center. This lets you analyze your finances in more detail and create reports for individual areas of your business.

Recording an Opening Balance / Float in the Cash Book

If you place cash in the register at the start as a float or opening balance, this needs to be recorded as a cash book entry.

In the POS App
  1. Open the POS app and go to Business > Cash Book.
  2. Tap + in the top right and select Deposit.
  3. Select Private (a 0% tax rate is set automatically).
  4. Enter the amount of the opening balance or float.
  5. Enter a reason such as "Opening balance" or "Float" (check with your tax advisor if needed).
  6. Save the entry.
In the POS Manager
  1. Open the POS Manager and go to Reports > Cash Book.
  2. Click + Entry in the top right.
  3. Select Private.
  4. Enter the amount.
  5. Enter a reason such as "Opening balance" or "Float."
  6. Save the entry.

Note: The opening balance should always be recorded so that the actual cash on hand matches the cash book.
